ChatGPT Space and Pages explained: how shared documents, teams and meeting notes work

ChatGPT Space is OpenAI’s new collaboration area, announced at DevDay on September 29, 2026. It gives ChatGPT a place to keep documents (“pages”) and files, and lets teammates, ChatGPT and, for those who have one, a ChatGPT dot build on the same material. This guide explains how Space and Pages work, who can use them, how sharing and permissions behave, and the privacy details OpenAI spells out. It draws on OpenAI’s Help Center and DevDay recap. OpenAI says features are rolling out gradually, so your account may not have everything yet.

What Space, pages and spaces are

OpenAI’s help pages draw three distinctions:

• A page is an editable document. You can use one for a project brief, meeting notes, a research summary or a team update. You and your collaborators can edit it together, and each person can ask their own ChatGPT to help with the content.
• A space groups related content. Everyone has a personal space, and you can create others for a topic or team. Spaces can contain folders and pages, and a page can contain subpages.
• Space (the feature) is the home for all of it, where you find your pages, uploaded files, images and recents. It replaces Library for accounts with access, while Projects remain separate for your project chats, files and instructions.

Who can use it

In managed workspaces, your organisation’s sharing settings decide which options you have, and Enterprise administrators may need to enable sharing before members can collaborate. Space is coming soon to Business and Enterprise workspaces with data residency in Canada or the United Arab Emirates. Pro costs $100, $200 or $500 a month, as set out in ChatGPT Pro explained.

How to create a space and a page

OpenAI’s examples show that you mostly do this by asking ChatGPT:

1. Create a space. Ask ChatGPT to create one and name it, for example “Create a space named Website launch.”
2. Create a page. Start from a conversation, write directly in Space, or pick a template from Space home. You could ask, “Create a project overview page in Website launch with our goals, timeline and next steps.”
3. Edit with ChatGPT. Edit the text yourself, or ask for a change to the whole page or one section, such as “Shorten the introduction and keep the recommendations unchanged.” Select a passage to leave a comment, or use the page’s chat for broader changes.
4. Add structure. Ask ChatGPT to create a subpage under a parent, rename a page, or move one within the same space (you need edit access to both pages).
5. Add charts and interactive tools. Pages can include charts, trackers and tools made by ChatGPT.

OpenAI advises checking names, dates, calculations and source information before sharing a page.

Sharing and permissions

You can share a single page or a whole space. Open the page, select Share, and choose who to share with and whether they can view or edit. People with edit access can make changes together in real time. A few rules are worth knowing:

• Access is inherited. Access can come from a direct invitation, a parent page or the space. Subpages inherit from their parent, so removing a direct invitation doesn’t remove access that comes from a parent or space.
• Moving a page can change who sees it. Review any change in access before confirming a move.
• Files follow the page, links do not. Files uploaded into a page follow its permissions. A link to a separately stored file, including one in a connected service, doesn’t grant access to the original.
• Deleting goes to Trash. Deleting a page moves it and its subpages to Trash, including subpages owned by other people, so check subpages first.

Privacy: the parts that surprise people

OpenAI is explicit that each collaborator uses their own ChatGPT. Sharing a page doesn’t expose your private chats or Memory. But:

• Anything written onto the page is visible to its readers. If Memory is on, ChatGPT may use personal context when helping you write a page, and once it’s written there, everyone who can view it can read it.
• Summaries can leak source content. If ChatGPT copies or summarises something from a connected service onto a shared page, viewers can read it even if they can’t open the original.
• Training settings follow the person using the agent. On personal accounts, whether an interaction helps improve models depends on the settings of whoever’s agent reads or writes the page. OpenAI says it doesn’t train on Business and Enterprise data by default.

Teams, slides and meeting notes

Space is part of a wider set of team features OpenAI announced:

• Teams (Business and Enterprise) let you add colleagues once and share pages, slides, plugins and spreadsheets with the team, and delegate recurring work, such as weekly project updates, as team tasks that run on a schedule or when an event like a new email or Slack message happens.
• Collaborative slides, for Pro, Business and Enterprise in the coming weeks, will let several people and agents edit a deck at once and export to PowerPoint or Google Slides.
• The Meetings plugin takes notes from what’s said in a meeting and saves personalised summaries with action items in Space. OpenAI says audio is deleted once the notes are ready and can’t be replayed. It is in beta in the ChatGPT desktop app on macOS for Pro and Business users, with Enterprise coming soon.
• @ChatGPT in Slack and Microsoft Teams lets teammates get help in a channel, thread or message without an individual ChatGPT licence, on Business and Enterprise plans.

How it compares

Space and Pages put ChatGPT in the same territory as Claude Docs, Slides and Design, which Anthropic made available in any conversation on September 16, and as Google’s Workspace tools. The approaches differ: Claude’s docs let you share by link on Pro and Max and live in its Artifacts tab, while ChatGPT’s pages live in Space and connect to teams.
