Best AI email assistants in 2026: Gmail, Outlook, ChatGPT, Claude and more

An AI email assistant reads your inbox so you don’t have to read all of it. It summarises long threads, drafts replies in your voice, finds the message you half remember, and can pull out the tasks and dates buried in your mail. In 2026 there are three ways to get one: the AI built into your mail service, a general assistant such as ChatGPT or Claude connected to your inbox, or a mail app designed around AI. This guide compares the leading options, what they cost and where each one falls short.

What an AI email assistant can do

• Summarise threads: condense a long back-and-forth into what was decided and what is still open.
• Draft and rewrite: write a reply from a few words, match your tone and fix grammar.
• Search by meaning: find “the email where Dana sent the revised terms” without remembering the keywords.
• Triage: sort what needs you from what you can archive.
• Schedule: propose meeting times from calendars.
• Coach: point out when a message sounds curt or unclear.

Most of these are read-only or produce drafts. The real difference between products is how much they can do to your mail — send, delete, archive — and how they ask permission first.

Gemini in Gmail

Google’s assistant is built into Gmail itself, so there is nothing to install. What you get depends on your plan, your language and your country. According to Google’s availability page:

Copilot in Outlook

Copilot in Outlook works inside the app you already use. Microsoft’s support pages list four main tools:

• Draft with Copilot writes a full message from your prompt, using the thread and, in work accounts, organisational information as context.
• Summary by Copilot condenses an email thread from the Summarize button at the top.
• Schedule with Copilot helps you find meeting times.
• Coaching by Copilot reviews a draft of at least 100 characters and suggests improvements to tone, sentiment and clarity.

At home, Copilot in the Microsoft 365 apps comes with Microsoft 365 Personal ($9.99 a month) and Family ($12.99, where only the plan owner can use Copilot); Premium ($19.99) and Pro ($99.99) add higher limits. Siri AI in Apple Mail

Apple’s rebuilt Siri works inside Mail rather than beside it. According to Apple, Smart Reply in Mail and Messages can draw on your personal writing style, reflecting how you usually communicate with each recipient, including the punctuation and tone you typically use. Siri’s Writing Tools can also refine a draft when you describe the change you want. Apple says you will soon be able to ask Siri AI to draft an email in Microsoft Outlook, too. Siri AI has no fee at launch, with daily usage limits, and it needs a recent iPhone, iPad or Mac. Our report on Siri AI in iOS 27 lists the devices and countries.

ChatGPT

ChatGPT doesn’t replace your mail app. Instead it connects to your inbox and helps you work on it from a chat:

• Gmail plugin: lets ChatGPT find and reference emails, threads and drafts, prepare replies, recap recent exchanges, gather talking points and highlight action items.
• Outlook Email app: lets ChatGPT search and retrieve messages, look up people and manage contacts. Drafting happens in the chat, and you copy the reply into Outlook.
• Multiple accounts: since September 17, 2026 you can connect more than one account to plugins.

It suits people who use both Gmail and Outlook, or who already work in ChatGPT for writing and research. Workspace administrators can limit which actions are enabled, and Outlook access may need admin approval in Microsoft. For plan details, see ChatGPT Go vs Plus.

Claude

Anthropic gives Claude two routes into your mail:

• Gmail connector: available to all Claude users, though on Team and Enterprise plans an owner must enable it first. Claude can search and read your email, draft replies and, if you allow it, send, reply or forward. By default it asks for your approval each time, and it reads attachment metadata rather than their contents.
• Claude for Outlook (beta): an add-in for Pro, Max, Team and Enterprise plans. It sorts unread mail into action items, items it can handle and noise, drafts replies in your voice by learning tone from your sent folder, summarises long threads with citations to the emails they came from, reads Word and Excel attachments and proposes meeting times.

The Outlook add-in is built for caution. Anthropic says it never sends mail or invites on its own: it doesn’t request the Mail.Send permission, and every draft lands unsent in Outlook’s compose window for you to click Send. It doesn’t support Outlook on iOS or Android or on-premises Exchange. Anthropic also warns that email can carry prompt injection, so treat drafts as suggestions. Perplexity Computer and Meta Muse

Agents can also work through your mail as part of a wider job. Perplexity Computer has Gmail and Outlook connectors and can manage and monitor email, and Meta Muse can send emails once you approve them. They cost more attention to set up than a built-in assistant, and they suit people who want mail as one step in a longer task, such as researching a client and emailing a summary.

Superhuman Mail and Shortwave

If you would rather change your mail app than add an assistant to it, two apps are built around AI:

• Superhuman Mail costs $25 (Starter) or $33 (Business) per member a month billed annually, or $30 and $40 billed monthly. It works with Gmail and Microsoft 365 accounts only, so iCloud mail is not supported.
• Shortwave is built on Gmail and Google Workspace, and can also connect other mail through Gmail. It has a free plan, then Pro at $18, Business at $30, Premier at $45 and Max at $120 per seat a month.

Which one should you choose?

• You use Gmail: start with Gemini in Gmail. Its summaries are free, and AI Plus adds the inbox and search features.
• You use Outlook at work or home: Copilot in Outlook is the native choice; Claude for Outlook is the careful alternative if your plan includes it.
• You use an iPhone and Apple Mail: Siri AI is the simplest option.
• You have several accounts: connect ChatGPT or Claude so one assistant handles all of them.
• Email is your job: try Superhuman Mail or Shortwave for the speed.

How to stay safe with an AI email assistant

An assistant that reads your inbox can also read what attackers put in it. Follow four rules:

1. Keep approvals on for sending, deleting and forwarding.
2. Connect the smallest set of accounts that does the job.
3. Read every draft before it goes out, especially replies with numbers, dates or links.
4. Treat odd instructions inside an email as a warning sign. An email that tells your assistant to do something is a prompt-injection attempt, not a request.
